VAT
Changing an address is no formality.
The registered office moves, the post box changes, the agent is someone else. For a foreign company identified for VAT in France, that information has to reach the French registers — and until it does, every letter from the administration goes to the old address.
See how it is doneOne line in a register, and a long tail of consequences.
The declared address is not a master-data detail. It is where the tax administration writes: assessments, requests for information, formal notices. Time limits for replying run from despatch, not from actual receipt.
It is also visible from outside. The extract from the SIRENE register reproduces the recorded details, and that is the document a customer, a platform or a bank will ask for. It has no legal force, yet in commercial practice it is treated as proof.
Then there is the European VIES system. It checks whether a VAT number is valid; whether the name and address are shown is decided by the Member State that issued the number. An out-of-date address in the French records therefore still reaches your partners long after the move — usually during a platform check, but just as readily at customer onboarding, in vendor screening, at invoice approval or in ongoing correspondence with a French office.
From abroad the correction takes longer than it should: a French-language portal, a single office to validate it, and the person who could answer a question sits in Noisy-le-Grand, on French office hours.
What hangs on the address
| Where it appears | What hangs on it | If it is out of date |
|---|---|---|
| Tax file | Assessments, requests for information, formal notices | The post goes to the old address and the time limits run anyway |
| SIRENE register | The extract, consulted by customers and banks | The document produced no longer matches reality |
| VIES system | Verification of your VAT number by your partners | Depending on the Member State, an obsolete address stays visible |
| Invoices and contracts | Mandatory particulars, accounting reconciliation | Rejections and requests to reissue, usually during an audit |
Where the change is made
The amendment filing takes the same route as the original registration: the business formalities portal at formalites.entreprises.gouv.fr. The form adapts to the answers given.
For a foreign company with no permanent establishment, the filing is routed to the DGFiP, which validates it before it passes to the statistics office Insee. For foreign companies it is the DGFiP that handles entries in the SIRENE register.
The tax office responsible for companies established in the European Union is the foreign business tax office at Noisy-le-Grand. Changes of address or of company name are expressly to be notified there.
Why the change stalls from abroad
- Everything runs in FrenchThe path through the portal, the field labels, the documents requested and the correspondence that follows. Even the guide the DGFiP publishes specifically for foreign companies is written in French.
- The signature is not the one used for a registrationA creation formality is signed by ticking a box. An amendment formality requires an advanced electronic signature based on a qualified certificate within the meaning of the eIDAS regulation, or a connection through FranceConnect+.
- FranceConnect+ presupposes a French identityThe service rests on a digital identity that calls for a valid French identity document, meaning a national identity card, a French passport or a residence permit valid for at least five years, together with an entry in the national register of natural persons.
- That leaves the certificate, or the agentA director established abroad can obtain a qualified certificate from a trust service provider in their own Member State; the European list is public. For a single filing, that is a project in itself. The other route is the mandate: someone who files and signs on behalf of the company.
This is the route we take with you. You give us a mandate and we handle the filing: FRADECO is registered as an “expert-comptable” with the Ordre des experts-comptables for the Paris Île-de-France region. We put the file together, we submit it on the business formalities portal and we sign it in your name. You need no French identity document for that, and we discuss it with you in German or in English.
Time limits and effective date
For registered companies, article R. 123-66 du code de commerce requires the amending entry to be applied for within one month of the event that makes it necessary. A VAT identification without registration goes through the same portal and follows the same standard of diligence.
What counts is the date of the actual change, not the date of filing. A late filing therefore leaves a window in which the registers show an address where nobody collects the post any more.
What to check afterwards
- The SIRENE extractAvailable online with the SIREN number, showing the position as at the previous day.
- The VIES systemLook at what appears there for your number, and tell your customers if the old address lingers for a few days.
- The invoice detailsThe address appears on the invoices you issue and on those you receive. A supplier invoice carrying the old address surfaces at the worst possible moment, during an audit.
- The third parties holding the addressBank, freight forwarder, marketplaces, insurer, main customer. None of them consults the registers of their own accord.

Our part
Making the change in four steps.
- 1Take stockEvery declared address: the registered office abroad, the correspondence address, the agent, the place where documents are kept.
- 2File and sign the amendmentComplete at the first attempt, with the expected supporting documents and the right effective date, signed on your behalf under the mandate.
- 3Check that it landedThe SIRENE extract, the VIES entry, then confirmation that the post arrives.
- 4Tell the third partiesA written list, ticked off once, beats a run of reminders as incidents come in.
We take on the French filing and follow it through to the point where the records are actually updated. Decisions about how the group is organised stay with you.
When it pays off: as soon as the decision is made, without waiting for the move. The effective date may lie in the future, and a filing made in advance avoids the blind window.
Frequently asked
What we are asked about changing the address.
The answers cover foreign companies identified for VAT in France, with or without an establishment.
The filing
Which address has to be declared?
The registered office abroad, plus where applicable the correspondence address in France and that of the agent. These are separate fields, and they do not update together.
Which documents are needed?
Company name, legal form, the previous address, the new address, the French VAT number, the date of the change, register or supporting documents, the earlier correspondence on the matter. Plus someone at the company the administration can reach.
How long does the update take?
The filing is validated by the DGFiP and then passed to the statistics office Insee. The time depends above all on whether the documents are complete: an incomplete file goes round again.
Does the tax office have to be told separately?
The filing feeds the registers. Depending on the situation, direct contact with the foreign business tax office speeds things up, particularly where a procedure is under way.
Can the filing be done yourself from abroad?
A registration, yes: it is signed by ticking a box. An amendment, barely. It requires an advanced electronic signature based on a qualified certificate, or a connection through FranceConnect+, and FranceConnect+ presupposes a French identity document.
That leaves acquiring a qualified certificate from a provider in your own Member State, or handing the filing to an agent who signs on the company’s behalf.
The consequences
Does the VAT number change with the address?
No. The number attaches to the entity, not to the place. What changes is the information held against the number, and how the administration and your partners reach you.
Is a new VAT number always involved?
Not necessarily. In most cases the priority is correcting the registration details already held. Whether anything further is needed depends on the individual case.
What if letters have already gone to the old address?
First establish what was sent and when. Time limits for replying run from despatch, and a formal notice that never arrived is still a formal notice. That is why an out-of-date address sometimes costs far more than the move itself.
Does VIES update itself?
It reflects the data of the Member State that issued the number. Whether name and address are shown is that state’s decision. Checking beats assuming.
Particular cases
What about invoices already issued?
They remain valid: they carried the correct address when they were issued. The attention belongs on future invoices in both directions, and on long-running contracts.
Can the accountant’s address be used?
A correspondence address is possible, and it has the advantage of staying put. Providing a registered office as a service is a regulated activity in France, requiring authorisation. The two are not the same thing.
Does the same apply to a change of company name?
Yes, and the stakes are higher: the company name is the matching key at customers and platforms. A name that no longer lines up causes invoice rejections before anyone even looks at the address.
